Job Summary
Hong Kong Securities Clearing Company Limited is seeking a responsible, dependable, and service-oriented individual to join the Depository Services team as an Officer to perform driving and office administrative support. This role is responsible for providing safe and efficient transportation services while supporting a range of operational, administrative and logistical activities. The successful candidate will play a key role in ensuring the smooth day-to-day operation of the department by providing transportation support, assisting with confidential document handling, coordinating administrative activities and supporting various operational initiatives as required. The role requires a high level of professionalism, integrity, confidentiality, flexibility and attention to detail.
Job Duties
Key Responsibilities
- Transportation and Logistics Support
- Provide safe, reliable and timely transportation services for assigned business-related activities
- Support the transportation and delivery of confidential documents between HKEX offices, external service providers, regulators, banks, share registrars, and other designated locations.
- Plan efficient travel routes considering traffic conditions and operational priorities to ensure punctuality and service reliability.
- Maintain strict confidentiality when handling sensitive information, documents, and business matters during transportation duties.
- Perform routine vehicle inspections and ensure company vehicles are always maintained in a safe, clean and roadworthy condition.
- Arrange vehicle servicing, repairs, licensing renewals and maintenance schedules as required.
- Maintain accurate records of vehicle usage, mileage, fuel consumption, maintenance activities and transportation logs.
- Depository Operations and Administrative Support
- Provide general operational assistance.
- Administrative, clerical duties and logistical support
- Assist in the preparation, distribution, filing, retrieval and management of operational documents and records in accordance with established procedures and regulatory requirements.
- Support physical document handling, inventory management and other operational logistics activities as required.
- Assist in coordinating office facilities, procurement requests, stationery supplies, and other departmental administrative matters.
- Support business continuity, inspections and ad hoc departmental initiatives when required.
Key Requirements
Qualifications & Experience
Secondary education or above. Holder of a valid Hong Kong Driving License (Class 1 and 2). Minimum 5 years of professional driving experience with a proven track record of safe and responsible driving. Prior experience working in financial institutions or reputable organizations would be an advantage.
Skills & Competencies
Good knowledge of Hong Kong roads, traffic regulations and route planning. Basic computer proficiency including MS Office (Outlook, Word and Excel). Strong organizational and time-management skills with the ability to handle multiple tasks effectively. Good communication and interpersonal skills. Ability to work independently and maintain high standards of professionalism and discretion. Strong sense of responsibility, integrity, confidentiality and customer service.
Other Requirements
Clean driving record with no major traffic convictions. Possession of a valid Certificate of Traffic Conviction Record is preferred. Willingness to provide support outside normal office hours when business needs arise. Physically fit and capable of handling document deliveries and other logistical support activities where necessary.
